Donor Relations Coordinator

Reporting to the Director of Development, the primary responsibilities of the Donor Relations Coordinator are to support the development and fundraising efforts of the charity through CRM management, donor stewardship, and growing annual fund contributions. The Donor Relations Coordinator will help expand the relationships between the organization and its donors by providing excellent donor support, appropriately maintaining donor information, and prioritizing timely and accurate data entry and reporting. The Donor Relations Coordinator will also complete projects related to direct mail, text-to-give, recurring giving, and corporate giving.

Primary Responsibilities

CRM Management:

  • Responsible for monetary and in-kind donation entry into Kindful
  • Generate and send timely gift acknowledgements, including letters and postcards
  • Create and send honorarium and memorial acknowledgements at donor’s request
  • Download individual donation reports and record gifts for online giving, Shopify sales, United Way/CFC contributions, and corporate employee giving
  • Receive and process all credit card donations made via phone, in-person, or by mail
  • Assist the Director of Development and Controller in completing a monthly reconciliation of Kindful to QuickBooks Online
  • Record new pledges, track pledge payments, and produce and send annual pledge reminders/summaries
  • Identify donor information gaps in Kindful such as demographics and contact information and research/implement tools to append information to Kindful contacts
  • Expand recurring giving program by identifying, stewarding, and converting new and existing donors
  • Update monthly donor thank you letter in Kindful
  • Maintain monthly spreadsheet for Round-up for RMHC and assist Director of Development with monthly incentives
  • Facilitate two (2) annual direct mail campaigns, including donor segmentation, printing, assembly, and mailing
  • Facilitate quarterly mailed newsletter, including donor segmentation, printing, assembly, and mailing
  • Coordinate special projects and fundraising activities as assigned by the Director of Development

Development:

  • Evaluate and execute donor stewardship plan on a weekly basis, notifying the Director of Development and President/CEO of their respective tasks
  • Expand recurring giving program by identifying, stewarding, and converting new and existing donors
  • Update monthly donor thank you letter in Kindful
  • Maintain monthly spreadsheet for Round-up for RMHC and assist Director of Development with monthly incentives
  • Facilitate two (2) annual direct mail campaigns, including donor segmentation, printing, assembly, and mailing
  • Facilitate quarterly mailed newsletter, including donor segmentation, printing, assembly, and mailing

Qualifications

Required:

  • Bachelor’s degree in Communications, Business, or other related discipline OR 4 years commensurate experience preferably in a nonprofit setting
  • Experience in reporting, data entry, fundraising, or project management
  • Proficiency in Microsoft 365
  • Technology savvy and enjoys evaluating processes and procedures
  • Strong written/verbal communication, organization skills, and attention to detail
  • Ability to work collaboratively with diverse groups
  • Ability to prioritize and manage multiple projects under tight deadlines
  • Ability to build relationships with staff, donors, volunteers, and the community

Preferred:

  • Experience with Kindful or other CRM
  • Experience with Harness or other online donation platform
  • Experience with Zapier or other task automation tool
